Reporting of Theft, Damage or Loss Policy

This policy will be enacted in the event of the theft of any Ed Video property, or property for which Ed Video is responsible.
If Ed Video property (equipment, computers, software, funds, or otherwise) is in the care of an Ed Video member or other renter at the time of theft, or suspected theft:

The Renter/Member must report the theft to Ed Video immediately by phone or in-person. Outside of business hours, the report should be made through the answering machine and confirmed by the member at the next opening of Ed Video’s office.

The Renter/Member must report the theft to the police. A copy of the completed police report must be provided to Ed Video immediately, or at the next opening of Ed Video’s office. Ed Video expects to possess a copy of the report within 24 hours of the occurrence of the theft.

In some cases, such as when the value of the object is minor, the member may chose to pay the cost of replacement cost out of pocket instead of filing a police report. This must be done immediately, or at the next opening of Ed Video’s office.

Ed Video is committed to protecting the assets of the organization and its members. In the event of theft, the centre cannot wait for the member to file a police report. A copy of the police report is expected immediately, or at the soonest opening of the Ed Video’s office.
If the member cannot or will not comply with this expectation, Ed Video will file a report of theft against the member within 24 hours.
In the event of loss or damage to Ed Video property, the Renter/Member is expected to notify staff immediately and reimburse the centre for the loss/repair costs within 72 hours, unless suitable alternative arrangements have been made with staff.
If the Renter/Member fails to reimburse Ed Video for repair or replacement costs, Ed Video will pursue the appropriate legal channels to recover the costs.
